Product update to Algolia index in one step

When Shopify fires a product update, the agent immediately calls Add or Update Record in Algolia so the storefront search reflects the new price, description, and inventory level. A Slack confirmation lands in #ecommerce-ops and the sync is logged to the tracking sheet — all within about a minute of the Shopify save.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    90 min / week
Manual product re-indexing after every catalogue change

The team manually exports product data, uploads it to Algolia, and verifies the index — adding 20-30 minutes to every catalogue update and leaving search results stale in between.

    Sales Agent
    0 min
Agent keeps product search in sync with inventory automatically

When a product is updated or discontinued, the agent immediately calls Add or Update Record or Delete Record so storefront search reflects current availability within about a minute.

  • Marketing
    60 min / week
Manual Algolia dashboard rule management per campaign

A marketer logs into the Algolia dashboard to create rules at campaign start and must remember to delete them when the campaign ends — stale rules frequently remain and distort search for weeks.

    Marketing Agent
    0 min
Agent activates and removes campaign rules when campaigns start and end

When a campaign goes Active in HubSpot, the agent calls Save Rule to pin promoted results. When it ends, Delete Rule cleans up automatically — no developer ticket needed.

  • Customer Support
    40 min / week
Manual synonym triage via the Algolia dashboard

Support escalates zero-result reports to engineering who log into Algolia, identify the right synonym fix, add it manually, and close the ticket — taking 24-48 hours per fix on average.

    Customer Support Agent
    0 min
Agent fixes zero-result queries with synonyms in the same conversation

When a customer reports a failing search query, the agent confirms the zero result and calls Save Synonym to fix it within about a minute — no engineering ticket, no dashboard visit.

  • Human Resources
    30 min / week
Manual intranet search index updates by the HR team

HR submits a request to IT to re-index the intranet search after each new hire posting or policy update, creating a lag of hours or days before employees find the correct content.

    Human Resources Agent
    0 min
Agent indexes new job postings and policy documents on publish

When a posting or policy is created or updated, the agent calls Add or Update Record so employees find the current version in intranet search within about a minute of publication.

  • Finance
    20 min / week
    Reactive Algolia overage management

The team discovers overage charges on the monthly invoice and has to retrospectively audit which indices grew unexpectedly — by which point the charges are already incurred.

    Finance Agent
    0 min
Agent monitors record and operation usage against plan quotas weekly

The finance agent calls List Indices weekly to check record and operation totals against the Algolia plan limits, posting a Slack alert if the account is within 10% of a quota threshold.

  • Operations
    45 min / week
Manual index backup and configuration change management

Engineers manually copy indices before configuration changes, often skipping the step under time pressure. When a bad configuration ships to production, recovery requires recreating rules and synonyms from scratch.

    Operations Agent
    0 min
Agent backs up and promotes indices on a weekly schedule

Before every deployment, the agent calls Copy Index to snapshot each production index. If settings degrade search quality, rollback is one call from the backup — logged and confirmed before business hours.

  • Legal
    15 min / week
    Manual GDPR erasure index-by-index

The legal team manually searches each Algolia index for the data subject, deletes matching records one by one, and builds the audit trail by hand — taking 30-60 minutes per erasure request.

    Legal Agent
    0 min
Agent processes GDPR erasure across all indices with a full audit trail

When a right-to-erasure request arrives, the agent calls Get Record and Delete Record across every relevant index and logs timestamps to the compliance register — all within about a minute.

FAQs

Questions about Algolia + Actionist

How does Actionist connect to Algolia?
Go to the Apps tab, find Algolia, and click Connect. You will need two values from your Algolia dashboard: your Application ID (found under Settings → Applications) and your Admin API Key (found under API Keys). Actionist uses these to call the Algolia REST API on your behalf. If you prefer a least-privilege connection, you can create a dedicated Algolia API key with only the scopes your agents need — for example, search and addObject only — and use that key instead of the Admin API Key.
What Algolia API key scopes does Actionist need?
The minimum scopes depend on what your agents do. For read-only operations (Search Index, Get Record, List Indices, Get Index Settings) the agent needs the search scope. For write operations (Add or Update Record, Delete Record, Batch Index Records, Save Synonym, Save Rule, Update Index Settings, Copy Index, Clear Index) it needs addObject, deleteObject, editSettings, and browse respectively. For API key management (Create API Key, Delete API Key) it needs addObject on the virtual ACL index. The Admin API Key grants all scopes; for production use, create a scoped key matching only the actions your agents actually run.
Can Actionist keep my Algolia index in sync with a live database automatically?
Yes. The most common approach is a scheduled agent task that exports changed records from your data source on a cadence (hourly, nightly, or triggered by a data-change event) and calls Batch Index Records to push all additions and updates in one API call, then calls Delete Record for any removed items. This pattern works with any data source Actionist can read — Shopify, Notion, Google Sheets, Airtable, a Neon Postgres database, or any other connected app. The Algolia index stays in sync without a custom backend or webhook infrastructure.
How do I fix zero-result search queries without opening the Algolia dashboard?
Ask your agent to fix it. When a customer reports a failing query or you see it in your analytics, the agent calls Search Index with the exact phrase to confirm the zero-result issue, then calls Save Synonym to map the customer's language to the correct category or attribute. The fix takes effect within about a minute. You can also set up a scheduled agent task that reads your Algolia search analytics weekly, identifies all queries that returned zero results, and resolves each one with a synonym — handling the backlog without any manual dashboard visits.
Can Actionist activate campaign search rules automatically when a campaign goes live?
Yes. When a campaign is set to Active in your CRM or project management tool, the agent calls Save Rule to create an Algolia query rule that pins your promoted products to the top of the relevant search queries and adds any campaign-specific synonyms via Save Synonym. When the campaign ends, the agent calls Delete Rule to remove the boost. The marketing team controls search merchandising for the duration of each campaign without opening Algolia or raising an engineering ticket.
How does Actionist handle GDPR right-to-erasure requests across Algolia indices?
When an erasure request is received, the agent calls List Indices to identify every index that may contain the data subject's records, calls Get Record for the subject's objectID in each relevant index to confirm the data exists, and then calls Delete Record for every confirmed entry. Deletion timestamps and index names are logged to your legal management system or a compliance register. The entire process — from request to confirmed deletion across all indices — completes within about a minute and produces a full audit trail.
What is the safest way to deploy Algolia configuration changes without risking search quality?
Before any configuration deployment, have your agent call Copy Index to snapshot each production index to a timestamped backup index. The Copy Index call can copy settings, synonyms, and rules without touching the production records. If the new configuration degrades search quality, rollback is a single Copy Index call from the backup to production — no data recovery ticket or extended downtime. For a full change-management workflow, make and test configuration changes on a staging index, then have the agent promote them to production via Copy Index once approved.
How do I monitor Algolia API key security and rotate keys on a schedule?
Set up a weekly scheduled agent task that reviews your active API keys and flags any that have not been rotated in more than 90 days. For each over-age key, the agent calls Create API Key to generate a replacement with the same scopes, updates the key reference in your secrets manager, and calls Delete API Key to revoke the old one. Each rotation is logged to your security audit trail with the old key reference, new key reference, and timestamp — satisfying least-privilege and key-rotation compliance requirements without manual engineering effort.
