How does Actionist connect to AITable.ai?
Go to the Apps tab, find AITable.ai, and click Connect. You'll need an API Token from your AITable.ai account — navigate to Account Settings → Developer → API Token and click Generate. Paste the token into Actionist and click Test Connection. Actionist runs a read-only List Spaces call to confirm the handshake before any data operations run. An MCP connection is also available via the official @apitable/aitable-mcp-server for teams that prefer the richer MCP tool surface.
What data can the agent read and write in AITable.ai?
The agent can read and write records (rows), fields (columns), views, datasheets, attachments, and spaces. Read operations include listing spaces, getting records from a datasheet up to 1,000 rows at a time, retrieving a single record by ID, listing views, and getting field schemas. Write operations include creating and updating records (up to 10 per call for creates), deleting records, creating and deleting fields, creating new datasheets, and uploading file attachments to record attachment fields.
Can I connect AITable.ai to other apps in the same workflow?
Yes — AITable.ai works best as the structured data layer combined with apps that generate or consume the data. Common combinations: create CRM records from Google Forms submissions; update records when Stripe payments land; read open tasks and post a digest to Slack; upload Docusign PDFs as record attachments; sync Google Sheets data into a datasheet for analysis; create calendar events in Google Calendar when a milestone row is added. Does AITable.ai have real-time event triggers for Actionist workflows?
AITable.ai's REST API is polled by Actionist agents on a schedule rather than pushed via webhooks in the standard integration. This means the agent detects changes within about a minute on a polling cadence. For event-driven patterns — such as reacting when a record is updated — you can use AITable.ai's built-in Automation feature to send a webhook call to Actionist when a row changes, turning an AITable automation action into the trigger for an Actionist scheduled agent task.
What is the record creation limit per API call?
The Create Records API accepts up to 10 records per call. If you need to create more than 10 rows, the agent batches them into sequential calls of 10. The Get Records API returns up to 1,000 rows per call and supports pagination via a page token for larger datasheets. There is no hard limit on Update Records or Delete Records per call beyond the standard API rate limits on your AITable.ai plan.
How do I avoid writing duplicate records to AITable.ai?
Use Find Record before Create Records whenever the source data might arrive more than once — for example, from a form that users can resubmit, or from a webhook that may fire twice. Find Record filters the datasheet by a unique field (such as email, ID, or external reference) and returns the first match. If a match is found, the agent runs Update Records instead of Create Records. This deduplication pattern is the standard Actionist approach for idempotent writes to any database.
Can agents create entirely new datasheets and fields programmatically?
Yes. The Create Datasheet action creates a new table inside any space the API token has write access to, optionally with an initial field schema. Create Field adds a column of any supported AITable field type (text, number, date, single select, multi-select, attachment, URL, checkbox, and others) to an existing datasheet. This makes it practical to provision project trackers, client workspaces, or onboarding sheets automatically when a new project or hire record is created elsewhere.
What permissions does the API token need for Actionist to operate?
The AITable.ai API token inherits the permissions of the user who generated it. For read-only operations (Get Records, List Spaces, Get Views, Get Fields) the token needs read access to the relevant spaces and datasheets. For write operations (Create/Update/Delete Records, Create Datasheet, Create/Delete Field, Upload Attachment) it needs editor or higher permissions on those resources. If the agent gets a 403 error, check that the token owner has the right role on the target space in AITable.ai's permission settings.
