Deal-close contract sent before the call ends

When a deal advances to contract stage, the agent retrieves the correct template, pre-fills all fields from CRM data, sends the agreement, and logs the dispatch — all before the rep has finished updating the deal stage. The team sees a real-time Slack notification and the CRM record is updated with the agreement ID and timestamp.

What your agent runs for you

  • Sales
    45 min / week
    Manual contract dispatch

Reps pull the template, fill in counterparty details by hand, attach it to an email, and manually follow up when no one has signed after a few days — 15 minutes per deal, every time.

    Sales Agent
    0 min
Agent sends the right contract in under 60 seconds

When a deal advances in HubSpot, the agent retrieves the correct template, pre-fills all fields from the CRM, sends the agreement, and queues an automated reminder if no signature arrives within 72 hours.

  • Marketing
    35 min / week
    Manual PDF conversion and compression

Someone opens Acrobat, exports each PPTX and DOCX to PDF, then manually compresses oversized attachments before emailing them — a 10-minute task for every campaign asset batch.

    Marketing Agent
    0 min
Agent converts, merges, and compresses campaign PDFs automatically

When campaign assets are ready, the agent converts them to PDF, merges multi-part proposals, and compresses attachments in one unattended sequence — distribution-ready files before the team's coffee is cold.

  • Customer Support
    40 min / week
    Manual document assembly per customer

Support agents locate the signed agreement email, download the PDF, find the product guide, manually combine them, and send the welcome pack — 20 minutes of document hunting per new customer.

    Customer Support Agent
    0 min
Agent assembles and sends the onboarding pack on activation

When a customer account is activated, the agent downloads the signed agreement, converts the product guide to PDF, merges all documents, and delivers the welcome pack — the customer receives it within about a minute of activation.

  • Human Resources
    30 min / week
    Manual employment contract preparation

HR opens the correct template, fills in the candidate's details, sends the agreement from Adobe Sign, and manually chases if the candidate hasn't signed after a few days — 25 minutes per hire.

    Human Resources Agent
    0 min
Agent sends personalised contracts on offer acceptance

When a candidate's status updates to Offer Accepted, the agent retrieves the right jurisdiction template, pre-fills all candidate details, dispatches the agreement, and schedules automatic reminders — zero HR manual steps.

  • Finance
    50 min / week
Manual invoice data entry from PDF

Finance manually opens vendor invoice PDFs, reads line items, and keys the data into the accounting system for reconciliation — 5 minutes per invoice, error-prone under volume.

    Finance Agent
    0 min
Agent exports invoices to XLSX and reconciles automatically

Vendor invoice PDFs are exported to XLSX by the agent, line items are extracted and reconciled against purchase orders, and discrepancies are flagged before the payment run — no manual data entry required.

  • Operations
    30 min / week
    Manual document lifecycle management

Ops manually tracks which agreements are pending, which have expired, and which templates need refreshing — a weekly spreadsheet exercise that takes 30 minutes and is always slightly out of date.

    Operations Agent
    0 min
Agent maintains the full agreement lifecycle without a spreadsheet

The Operations Agent audits the template library, archives expired agreements, queues replacements, and publishes a cross-team status report every week — the agreement inventory is always current, always unattended.

  • Legal
    20 min / week
Manual compliance review of in-flight contracts

When a compliance issue is raised, legal manually locates the agreement in Adobe Sign, cancels it, notifies the parties, and updates the compliance log — a 30-minute process where every minute of delay increases exposure.

    Legal Agent
    0 min
Agent retracts flagged agreements within about a minute

When a compliance flag appears in the #legal channel, the agent verifies the agreement status, cancels it, logs the cancellation with full metadata, and notifies the team — the entire retraction sequence completes within about a minute.

FAQs

Questions about Adobe + Actionist

Which Adobe products does Actionist connect to?
Actionist connects to three Adobe product areas: Adobe Acrobat Sign (digital signature and agreement management), Adobe PDF Services (document conversion, compression, merging, and protection), and Adobe Creative Cloud Libraries (brand assets, color palettes, and creative components). The connection is authenticated via a single Adobe ID OAuth flow — one authorisation covers all three product areas. If your organisation uses Adobe's enterprise SSO, the agent authenticates through your configured identity provider.
What permissions does the agent need on my Adobe account?
For Adobe Acrobat Sign: the agent needs read permissions to list and get agreement status, and write permissions to send, remind, cancel, and upload documents. For Adobe PDF Services: the agent uses a service credential (Integration Key or OAuth Server-to-Server) to call conversion, compression, merge, and protection APIs — these are stateless and do not require access to your personal files. For Creative Cloud Libraries: the agent needs read access to retrieve library elements and metadata. The OAuth flow requests all required scopes together. If you connect via an Integration Key from the Adobe Developer Console, generate the key on an account with the appropriate API entitlements.
Can the agent monitor when a contract is signed and trigger downstream actions?
Yes, with a scheduled poll. Actionist's agent runs the Get Agreement Status action on a cadence — checking agreement status within about a minute of each scheduled poll. When an agreement moves to SIGNED, the agent proceeds to downstream actions automatically: downloading the executed PDF, updating your CRM, filing the document in Google Drive, triggering invoice creation, or any other action in your workflow. You configure the polling interval and the downstream steps in your agent's scheduled task. Adobe Sign also supports webhooks on enterprise plans; Actionist can receive these events and act on them without a polling schedule.
How does the agent pre-fill contract templates with CRM data?
When you use Create Agreement from Template, the action accepts a set of field-value pairs that map to the pre-built form fields in your Adobe Sign library template. The agent reads the field values — counterparty name, deal value, start date, pricing tier, territory — from your CRM record, HubSpot deal, or any connected data source, and injects them into the template before dispatch. No manual field entry is needed. If the template has a required field that the agent cannot populate from the available data, the agent pauses and flags the missing value rather than sending an incomplete document. Sensitive fields like contract value can be configured to require human review before dispatch, using Actionist's Approval Modes.
What file formats can Adobe PDF Services convert to and from?
Adobe PDF Services can create PDFs from DOCX, XLSX, PPTX, PPTM, RTF, BMP, JPEG, PNG, TIFF, and GIF. For export (PDF to editable format), the supported targets are DOCX, XLSX, PPTX, RTF, and OCR-extracted text. The conversion preserves layout, fonts, and embedded images. OCR is applied automatically when converting a scanned or image-based PDF — the agent extracts machine-readable text without a separate OCR step. File size limits for the API are 100 MB for input files; for larger documents, the agent can split and re-merge using the Merge PDFs action.
Can the agent cancel or retract a contract that has already been sent?
Yes, using Cancel Agreement. This action cancels an agreement that is in OUT_FOR_SIGNATURE or OUT_FOR_APPROVAL status — meaning it has been sent but not yet fully executed. When cancelled, Adobe Sign notifies all remaining signatories that the agreement has been withdrawn. The action optionally includes a cancellation message explaining the reason. If the agreement is already fully SIGNED, it cannot be cancelled; you would need to issue a separate amendment or termination notice. The Cancel Agreement action is designed for compliance-triggered retractions, deal-lost cleanup, and contract-clause corrections before execution.
Does the agent work with multi-signatory or sequential signing workflows?
Yes. When you send an agreement via Send Agreement for Signature, you specify the list of recipients and their signing order — sequential (each signatory receives the document only after the previous one signs) or parallel (all signatories receive it simultaneously). The agent monitors progress using Get Agreement Status, which returns per-recipient status as each signer completes their step. Automated reminders sent via Send Agreement Reminder are directed at the currently pending signatory in a sequential flow. You can set different reminder thresholds per workflow — a three-party acquisition agreement might have a 24-hour nudge cycle, while an internal policy acknowledgement runs on a 5-day cycle.
How are Adobe Sign audit trails handled when documents are downloaded?
When the Download Signed Document action fetches an executed agreement, Adobe Sign returns the fully signed PDF with the audit trail embedded as a separate page or appended section, depending on your account's settings. The audit trail records every event — sent, viewed, signed, and completed — with timestamps and IP addresses for each signatory. Actionist delivers the complete PDF including the audit trail to the destination you specify (Google Drive, an email attachment, a CRM record). If your organisation requires the audit trail as a separate PDF (the 'signing audit report'), you can configure the Download action to fetch both the executed document and the audit report in a single step, then merge them using Adobe PDF Services Merge.
