With Actionist

What your agent runs for you

  • Sales
    24 min / week
    Manual CRM-to-PSA data entry

After a deal closes, a sales-ops team member copies company name, contact details, and deal value from the CRM into Accelo manually — a process that takes 15-20 minutes and is prone to typos.

    Sales Agent
    0 min
Agent creates PSA records at deal close

When a deal closes in the CRM, the agent creates the company, contact, and project in Accelo within about a minute — the delivery team has a PSA record before the sales rep finishes the win call.

  • Marketing
    60 min / week
Manual contact enrichment in the PSA

After each campaign, the marketing team manually exports lead source data and updates matching Accelo contact records — a weekly data hygiene task that consumes an hour of an operations team member's time.

    Marketing Agent
    0 min
Agent enriches Accelo contacts from campaign data

Every Tuesday the agent cross-references new Accelo contacts against the marketing platform, fills in missing lead source and job title fields, and updates the records automatically.

  • Customer Support
    60 min / week
Manual inbox triage and ticket creation

Support team members read the shared inbox, decide which emails need tickets, create the ticket manually in Accelo, and copy the email body into the description — adding 5-10 minutes per inbound email to the triage process.

    Customer Support Agent
    0 min
Agent converts every client email to a triaged ticket

When a client email arrives, the agent creates an Accelo ticket with the correct SLA priority, linked contact, and email activity logged — before a human has read the inbox.

  • Human Resources
    45 min / week
    Manual timesheet chase each Monday

HR manually pulls a timesheet report from Accelo each Monday, identifies who hasn't submitted, and sends individual Slack or email nudges — typically taking 45 minutes before the payroll cutoff.

    Human Resources Agent
    0 min
Agent checks timesheet compliance every Monday automatically

Every Monday the HR agent queries Accelo for missing Friday time entries and nudges non-compliant staff via Slack — the payroll team has complete data before 10 AM.

  • Finance
    45 min / week
    Manual accounts receivable chase

The finance team manually pulls an overdue invoice report from Accelo, finds the billing contact for each company, composes reminder emails, and logs the outreach — a process that takes 30-60 minutes each week.

    Finance Agent
    0 min
Agent identifies and chases overdue invoices automatically

Every Monday the finance agent pulls all overdue invoices from Accelo, sends reminders to billing contacts, and logs the outreach as activities — a complete AR chase cycle without human effort.

  • Operations
    120 min / week
    Manual weekly project status reporting

Project managers query Accelo for each client's project data, write a status update summarising milestones, budget, and next steps, and email it to the client — a process that takes 15-20 minutes per project each Friday.

    Operations Agent
    0 min
Agent generates per-client project status reports from live PSA data

Every Friday the operations agent pulls milestone status, budget consumption, and time logged from Accelo and emails each client a personalised project update — no PM writes a single word.

  • Legal
    30 min / week
    Manual contract renewal tracking

The legal team maintains a separate spreadsheet of contract end dates, manually checking Accelo retainer records monthly to identify upcoming renewals and alerting account managers individually.

    Legal Agent
    0 min
Agent monitors contract expiries and surfaces renewals 90 days out

Every Monday the legal agent retrieves retainer records from Accelo, identifies those expiring within 90 days, and confirms renewal prospects exist in the pipeline — creating them if they don't.

FAQs

Questions about Accelo + Actionist

How does Actionist connect to Accelo?
Go to the Apps tab in Actionist, find Accelo, and click Connect. The recommended path is OAuth — Actionist opens an Accelo authorisation page where you enter your deployment subdomain (e.g. yourcompany.accelo.com), sign in, and grant access. Actionist runs a read-only test call to confirm the handshake before any actions run. If you prefer a bearer token, generate a Service Application token in Accelo under Settings → API → Service Applications, then paste it along with your deployment subdomain into the token field.
What data can an Actionist agent read and write in Accelo?
Agents can read and write contacts, companies, projects, tickets, prospects, activities, retainer records, time entries, and invoices. Read operations retrieve records and their associated fields — for example, Get Project returns milestone status, budget consumed, task list, and assigned staff. Write operations create or update records — Create Ticket creates a new issue linked to a contact and company; Update Ticket changes status, priority, or assignee. Agents can also log activities (notes, emails, calls) against any Accelo object to maintain a full audit trail.
Can I use Accelo with other apps in the same agent task?
Yes — Accelo works most powerfully when combined with the other tools in your stack. Common combinations include: reading from HubSpot or Salesforce and writing to Accelo when deals close; pulling Accelo time entries and writing them to Google Sheets for payroll; creating Accelo tickets from Gmail or Slack; and syncing Accelo invoice data to QuickBooks or Xero for accounting reconciliation. Any of Actionist's connected apps can send or receive data alongside Accelo in the same agent task.
How do I automate project creation when a deal closes in my CRM?
The standard pattern is: set a scheduled agent task to check your CRM for newly closed deals, then call Create Company (or Get Company if the client already exists), Create Contact for the primary contact, and Create Project with the project type, manager, and start date set from the deal data. The agent can also log a kickoff activity in Accelo and post a notification to Slack — all in a single agent task run. The delivery team has a PSA project ready within about a minute of the deal closing, without anyone doing manual data entry.
Can Actionist help with retainer management in Accelo?
Yes. The Get Retainer action retrieves each active retainer's hours budgeted, hours consumed, and period end date. Agents can run a weekly scheduled task to calculate consumption percentages for all active retainers and alert account managers when a client approaches their cap — before the overage happens. For retainer renewals, agents can monitor expiry dates and create renewal prospects in Accelo 60-90 days in advance, giving the sales team a structured pipeline for retention without manual calendar reminders.
What's the best way to automate support ticket creation in Accelo?
The most common pattern is email-to-ticket: an agent monitors the shared support inbox, uses Get Contact to look up the sender by email address, and calls Create Ticket with the email subject as the title, the body as the description, and the SLA priority set based on the client's tier. The email is then logged as an activity against the ticket with Log Activity. This means every client email creates a triaged, linked PSA ticket within about a minute — without a human reading the inbox first.
How can Actionist help with billing and invoicing in Accelo?
Agents can automate several billing workflows: List Invoices with a filter for 'sent and overdue' returns every invoice that needs a payment reminder; List Time Entries filtered by 'billable and unbilled' gives you the time to invoice each cycle. Agents can send reminder emails, log the outreach as activities in Accelo, and write the data to an accounting system like QuickBooks or Xero. For retainer-based billing, Get Retainer confirms the period's consumption before an invoice is raised — catching discrepancies between time logged and time contracted.
Does Actionist support Accelo's custom fields and object types?
Accelo's API exposes custom fields on contacts, companies, projects, prospects, and tickets as part of the object response. Agents can read and write custom field values as part of any Create or Update action. For example, if you have a custom field on the Contact object for 'Lead Source' or 'Subscription Tier', an agent can populate it at record creation and update it when the value changes. Custom project types and ticket types configured in your Accelo deployment are also accessible via the API.
